• Every item gets a timed slot in the run-sheet, and the compere gets a copy with the running clock on it.

• Speeches are the variable that breaks the schedule. Agree a limit in advance with each speaker and have the compere brief them personally, not by email.
• Awards: 25–30 seconds each, including the walk and the photograph. Above forty awards, hand them in groups.
• Build in one spare slot. Something will go wrong and you will need the minutes back.

School annual days specifically

Hundreds of children, hundreds of parents, and backstage is the whole job. What it needs: a holding area by class with teachers assigned, a costume-change space, a route to the stage that does not cross the audience, water, and a marshal counting children on and off. The performance itself is the easy part.

And one thing that matters more than anything on stage: every parent must be able to see their own child. Stage positions, lighting and the photographer’s brief should all serve that. It is what the evening is judged on.

Corporate annual days

Employee performances, long-service recognition, a leadership address and dinner. Rehearsal time is the thing companies under-allocate — employee performers are not performers, and one proper rehearsal on the actual stage changes the evening completely.

Production

Stage, backdrop, lighting design, LED wall, sound, a technician throughout, and a stage manager with the run-sheet who is empowered to move things along. The stage manager is the role most often left out and the one that decides whether the event ends on time.
