Corporate catering is priced and judged differently from wedding catering. Nobody photographs the buffet. What matters is that 300 people eat inside a 45-minute break, that the invoice matches the PO, and that nothing delays the agenda.
Per-head rates in Hyderabad, 2026
- Tea and coffee service — ₹35-70 per head per round, with biscuits or one snack
- Breakfast — ₹140-260 (South Indian tiffin, or a mixed continental and Indian spread)
- High tea / evening snacks — ₹180-320 (two or three snacks, one sweet, beverages)
- Working lunch, buffet — ₹280-450 vegetarian, ₹380-600 with non-veg
- Conference lunch with counters — ₹500-800
- Gala or awards dinner — ₹800-1,500 with live counters and a bar setup
- Packed meal boxes — ₹150-320 depending on contents and packaging
Rates fall with headcount and with repeat contracts. Daily office catering for 100+ is quoted quite differently from a one-off event — ask for both. See office lunch catering and packed meal boxes.
The constraint nobody puts in the brief: throughput
A 45-minute lunch break for 300 people is a throughput problem, not a menu problem. One buffet line serves roughly 100-120 people in 30 minutes. For 300 people in 45 minutes you need at least three parallel lines, double-sided, with the slowest item (live counters, hot breads) placed last so the queue does not stall at the front.
Specify throughput in the RFQ: “300 guests served within 40 minutes”. It changes the setup, and it is the single most useful line you can add.
What to put in a corporate RFQ
- Headcount, and the split between veg, non-veg and Jain
- Exact service window and how long food must hold
- Venue constraints — kitchen access, power points, lift access, security clearance timings
- Required throughput (see above)
- Dietary and allergen handling
- Crockery standard: disposable, melamine or china
- Staff uniform and ID requirements
- Invoicing: GST number, PO reference, payment terms
- Whether tea/coffee rounds are continuous or scheduled
By event type
Conferences and seminars
Two tea rounds and a lunch, held to the agenda. The caterer must be able to shift lunch by twenty minutes without drama, because sessions overrun. See conference catering.
Dealer meets and channel partner events
Guests travel in, so breakfast on arrival matters more than people expect, and dinner is usually the social centrepiece. Budget higher for dinner than lunch.
Annual days and award nights
Long standing periods, staggered eating, heavy starter circulation. Tray service outperforms buffet for the first hour.
Daily office catering
Judged over months, not one day. Menu rotation is the whole job — a four-week non-repeating cycle is the standard to ask for.
Invoicing and compliance
For corporate work, confirm up front: GST-compliant invoice with your entity name and GSTIN, PO number on the invoice, FSSAI licence copy for the kitchen, and staff ID list if your site requires security clearance. Sorting this before the event avoids the finance-team email chain after it.
