“How much will catering cost?” is almost always asked as a total, and almost always answered as a per-plate rate, which is why the two numbers never seem to meet. Below are the totals — by guest count and by menu type — using the per-plate bands caterers in Hyderabad actually quote in 2026.
The quick table
Totals below include food, service staff, crockery and transport at the rates honest caterers quote them. GST is extra unless stated.
100 guests
- Traditional veg meal (₹280–380/plate) — ₹28,000 – 38,000
- Veg with one live counter (₹450–550) — ₹45,000 – 55,000
- Non-veg with biryani and starters (₹550–700) — ₹55,000 – 70,000
- Multi-cuisine with counters (₹750–900) — ₹75,000 – 90,000
- Breakfast / tiffin only (₹150–250) — ₹15,000 – 25,000
200 guests
- Traditional veg meal — ₹54,000 – 74,000
- Veg with one live counter — ₹86,000 – 1.06 lakh
- Non-veg with biryani — ₹1.04 – 1.34 lakh
- Multi-cuisine with counters — ₹1.44 – 1.74 lakh
300 guests
- Traditional veg meal — ₹78,000 – 1.08 lakh
- Veg with live counters — ₹1.26 – 1.56 lakh
- Non-veg with biryani — ₹1.5 – 1.95 lakh
- Multi-cuisine with counters — ₹2.1 – 2.55 lakh
500 guests
- Traditional veg meal — ₹1.25 – 1.75 lakh
- Veg with live counters — ₹2.0 – 2.5 lakh
- Non-veg with biryani — ₹2.5 – 3.25 lakh
- Multi-cuisine with counters — ₹3.5 – 4.25 lakh
Note the rate drops. Per-plate prices soften above 300 guests and again above 1,000, because staffing and transport spread across more plates. A caterer quoting the same per-plate figure for 100 and 500 guests has not sharpened the pencil.
How many people will actually eat?
This is where budgets break. Two rules worth holding on to:
- Invited is not attending. For a Hyderabad wedding, 70–80% of confirmed guests typically turn up; for a weekday corporate event, nearer 90%.
- Children under ten count as half a plate for quantity, but most caterers still charge them full. Negotiate this explicitly if you have a large family guest list.
Order for the realistic number plus 8–10%, not the invite list plus 25%. The second approach is how ₹40,000 of food ends up in bins.
The five things that actually move the number
- Live counters — each adds ₹60–150 per head. Three counters at 300 guests is ₹54,000–1.35 lakh on its own.
- Non-veg, and which non-veg — mutton and prawns move the rate far more than chicken.
- Guest count — the per-plate rate falls as the number rises.
- Service style — plated service needs roughly twice the staff of a buffet.
- Venue rules — some hotels charge corkage or insist on their own kitchen, which changes the comparison entirely.
What a quote should contain
Ask for these five lines and most pricing arguments disappear:
- Per-plate rate with every dish listed by name
- The guest-count band the rate is valid for, and the rate if the count moves 15% either way
- Number of service staff and counters
- What is excluded — GST, transport, extra hours, crockery upgrades, generator
- Payment schedule and cancellation terms
A single round number with no dish list will grow. That is not cynicism, it is just how an unspecified scope behaves.
Worked example — 300-guest reception
Non-veg menu at ₹600 per plate for 300 guests = ₹1.8 lakh. Add two live counters at ₹100 per head (₹30,000), GST at 18% (₹37,800), and you are at ₹2.48 lakh for catering alone. The ₹1.8 lakh is the number people remember; the ₹2.48 lakh is the number they pay. Ask for the second one up front.
